How to Prepare Designs for Commercial Embroidery

So, you’ve got your design ready. Beautiful! 

(Or at least, you think it is.

But is it ACTUALLY ready to be embroidered

Now, you might look at the screen of your PC and think Looks good to me. What else is there to do?”

And we get it.

If it looks good on the screen, why wouldn’t it look just as good on a shirt, right? Or a jacket, cap, bag, or anything else you want to embroider it on? 

Well, there are a few things to say about that. 

One is that what looks good on your screen doesn’t always translate neatly into thread

The other thing is, some of the things you can get away with in a digital design simply don’t work the same way when you’re dealing with embroidery. 

And then there’s a third thing. 

The file you have in your hands is probably something like a JPEG or PNG. Basically, a common image file that shows what the design is supposed to look like, but doesn’t contain the actual INSTRUCTIONS an embroidery machine needs to recreate it in thread.

Maybe you created the design yourself in Photoshop, Illustrator, GIMP, or another program. Or maybe you found the file online or bought it from a marketplace.

Either way, having the image file doesn’t necessarily mean you have an embroidery-ready file.

Why?

There are a few reasons for that, and we’ll get to them in a moment. 

To be fair, we could talk about the technical side of this for hours (and, believe us, there’s a LOT to it), but just to give you the gist of it:

When you get it right, you end up with clean, professional-looking embroidery that retains the look and character of the original design.  

Get it wrong, and you could end up with something that looks nothing like what you had in mind. 

But don’t worry. Once you know what to look for, you’ll know EXACTLY what needs to be done to prepare your designs for the embroidery machine

That way, you can avoid the common mistakes, save yourself time and money, and end up with embroidery that looks as good in thread as it did on your screen

So, let’s take a look at what you need to know (and do) before you send your design off to be embroidered.

What Is Embroidery Artwork?

Let’s start with the basics and work our way up!

Okay, then… 

What is embroidery artwork? And what is digitizing? Aren’t those the same thing?

Not exactly.

Embroidery artwork and embroidery digitizing are two closely related parts of the process, but they’re not quite the same thing.

And if that sounds a little confusing, don’t worry.

We’re going to untangle those steps and explain what each one actually means (without getting lost in a bunch of technical jargon).

First, let’s look at embroidery artwork.

Embroidery artwork is the 2D design you want to turn into embroidery. It’s usually a flat image in a format such as JPEG or PNG. 

Ideally, it is prepared specifically for embroidery, taking into account things like size, detail, line thickness, colors, and other technical considerations.

You might also hear people call it a design, graphic, or simply a file. These terms are often used interchangeably, especially when people are talking about the artwork they want embroidered. 

The important thing is that this artwork shows what you want the finished embroidery to look like.

It does NOT contain the stitch-by-stitch instructions an embroidery machine needs to recreate it in thread

That comes next.

Digitizing.

Digitizing, on the other hand, is the process of turning that prepared 2D artwork into the stitches and instructions an embroidery machine can actually follow.

And this is where things get a little more interesting.

Because digitizing can be done in two main ways: automatically or by hand.

Automatic digitizing uses software to turn the artwork into stitches automatically.

It can be quick.

But the software is making the decisions for you (which is not always what you might want).

Hand digitizing is different.

This is where a REAL human digitizer makes those decisions manually, choosing things like stitch types, directions, density, and sequence based on the design and the fabric.

And for the best results, hand digitizing is usually the better choice.

Why?

Because a human can actually look at the design, understand what needs to happen, and make adjustments that automatic software simply can’t.

So there you have it!

A quick overview of embroidery artwork and digitizing. Just enough to give you the basic idea before we go any further.

Now that we’ve got that out of the way, there’s one more thing we need to clear up. 

You can have GOOD artwork. And still end up with BAD embroidery.

How?

Well, that’s exactly what we’re going to look at next.

Why Good Artwork Doesn't Always Produce Good Embroidery

So, you’ve got a great-looking design

It’s clean, the colors look right, and the details are exactly where you want them. 

So why doesn’t that automatically mean you’ll get great embroidery? 

We hinted at a few reasons in the intro, but it’s worth exploring this a little further. 

Machine embroidery isn’t the same as printing. And that’s one of the most important things to understand. 

And that’s one of the most important things to understand.

When you look at a design on a screen, you’re looking at pixels, colors, lines, and shapes.

An embroidery machine doesn’t see it that way.

It works from a set of instructions that tells it what stitches to make, where to place them, in what direction they should run, and how they should interact with one another. It isn’t simply reproducing a picture; it’s physically constructing that design with thread. 

For example, a very thin line might look perfectly clear in the original artwork.

But once it’s turned into stitches, that same line might be too thin to hold its shape.

A small detail might look great on screen but disappear completely when stitched.

Two areas of color that sit neatly next to each other in the artwork may also need to be adjusted because of how the stitches overlap, how the fabric reacts, or how much thread is being used. 

Also, the same design can behave very differently on a firm cap, a stretchy T-shirt, a jacket, or a soft piece of fleece.

We could go on, and on, and on. But you get the gist.

The main takeaway here is that good embroidery isn’t simply about having good artwork.

It’s about knowing how to turn that artwork into a set of instructions an embroidery machine can read and replicate.

And that’s where digitizing comes in.

A skilled digitizer understands that they’re not just converting an image into an embroidery file. They’re making a series of decisions about stitch types, density, direction, underlay, sequencing, pull compensation, and other factors that determine how the finished design will actually look and perform.

In other words, great embroidery starts with good artwork, but it takes good digitizing to turn that artwork into a great embroidered result.

Which File Format Should You Use For Embroidery Designs?

We’ve made good progress, but we’ve still got some explaining to do

And if we’re going to talk about getting your artwork ready for embroidery, we should probably talk about file formats. 

Because this is another area where things can get a little confusing. 

(Actually, it can get VERY confusing.)

You may have heard people throw around terms like vector, raster, AI, EPS, SVG, PNG, JPEG, and a dozen other file types. 

So, which one should you actually use for embroidery? 

Well, the answer depends a little on what you’re starting with and what you’re trying to do. 

But if you’re creating original 2D artwork that you know is eventually going to be digitized for embroidery, there is one general rule that’s worth remembering:

Whenever possible, create and keep your original artwork as a vector file.

Now, that doesn’t mean raster artwork can’t be digitized. It absolutely CAN.

It simply means that vector artwork generally gives a digitizer a much better starting point.

And to understand why…

You first need to understand the difference between vector and raster graphics.

Vector vs. Raster

At a very basic level, digital artwork comes in two main forms: vector and raster.

Now, we know… 

Those two words may not mean much to you yet. (And that’s okay.) 

But understanding the difference between them is going to make everything else we’re about to talk about MUCH easier

Let’s start with a raster. 

Raster artwork is made up of pixels.

Think of a photograph, a screenshot, or a typical JPEG or PNG

All of these are raster images. 

The image is essentially a grid of tiny individual pieces of information that, when viewed together, create the picture.

Vector artwork works differently.

Instead of being made from individual pixels, it is built from paths, points, lines, curves, and shapes.

Or in other words, it’s made up of instructions that tell the computer what those lines, curves, and shapes are supposed to be. 

(Which turns out to be a VERY useful thing when you’re preparing artwork for embroidery.) 

That difference might not seem particularly important when you’re looking at the artwork on your screen.

But it becomes VERY important when that artwork needs to be digitized. 

And here’s why… 

Why Vector Artwork Is Usually Better for Digitizing

Remember how we said that vector files are built from paths, curves, lines, and shapes rather than pixels?

That’s important because those elements are exactly what make vector artwork so flexible.

They can be scaled up, scaled down, edited, adjusted, and refined without any loss of quality… none.

For example, a logo can be reproduced at the size of a business card or stretched across the side of a billboard and still remain perfectly sharp. (Try doing that with a low-resolution JPEG.)

Designers can also change colors, adjust individual elements, and make layout revisions without having to recreate the artwork from scratch. 

That’s one reason designers prefer vector artwork, and it also makes life easier for digitizers.

Vector files provide clean, clearly defined shapes to work from, with logos, text, borders, and other design elements typically separated rather than blended together in a collection of pixels. 

As a result, individual components are easier to identify, edit, and prepare for embroidery

In other words, the digitizer spends less time trying to figure out what they’re looking at and more time focusing on the actual digitizing process… which is where the REAL VALUE is created. 

If a design needs to be enlarged, reduced, simplified, or otherwise adjusted before digitizing, those changes can usually be made without degrading the quality of the artwork. 

Likewise, when a customer requests a color change, layout adjustment, or other revision, vector files are generally much easier to modify than raster images.

The advantages of vector artwork become even more apparent when compared to a typical raster file. Consider a low-resolution JPEG that has been emailed, downloaded, compressed, resized, and re-saved half a dozen times. By the time it reaches the digitizer, some details may already be blurry, distorted, or difficult to interpret.

Of course, vector artwork does not digitize itself. A digitizer still needs to decide which stitch types to use, how dense the stitching should be, what direction the stitches should run, how the design should be sequenced, and numerous other details that affect the final result.

But starting with clean vector artwork usually means fewer questions, fewer assumptions, and fewer opportunities for important details to get lost along the way.

That’s essentially what vector artwork gives a digitizer: a cleaner, clearer, and more accurate starting point.

And when you’re trying to produce the best embroidery possible, a better starting point almost always leads to a better finished product

Embroidery Has Physical Limitations

Up to this point, we’ve primarily focused on the artwork itself. 

But we’ve not touched on the embroidery machines yet. And in particular, on the limitations that every embroidery machine must work within.

You can have the best artwork (and digitizing) in the world, but there’s still one UNAVOIDABLE reality

Embroidery is a physical process. 

In other words, at some point that design has to leave the computer screen and be recreated with real thread, real fabric, and real needles.

And that means that design must operate within certain physical limitations.

While modern embroidery machines are incredibly capable, they’re not capable of everything

For example, there are practical limits to how much detail can be reproduced with thread. Small text can become difficult (or even impossible) to read below a certain size. 

Fine details may need to be enlarged or simplified. 

Photographic images and smooth gradients often cannot be recreated exactly as they appear on a screen. (At least not without making some compromises.) 

Then there are the limitations imposed by the fabric itself.

Stitch tension can cause fabric to pucker. Stretchy materials can distort designs as they’re sewn.

Even the size of the embroidery is constrained by the machine’s hoop size, which places a physical limit on how large a design can be stitched out.

So when you think about it, embroidery designs and embroidery machines are closely connected.

You simply can’t separate one from the other.

That’s why digitizers must consider not only the artwork itself, but also the physical limitations of the embroidery process when preparing a design for production.

And while we’re on the topic of embroidery limitations, it’s worth looking at some of the most common artwork mistakes that can create problems during the digitizing and embroidery process.  

Common Embroidery Artwork Mistakes

As we’ve just seen, embroidery isn’t as simple as taking an image and stitching it onto fabric. 

It has certain physical limitations it needs to work around. 

And because of those limitations, some types of artwork are naturally easier to embroider than others.

Now, that doesn’t mean difficult artwork can’t be embroidered.

In many cases, it can.

But it often requires compromises, adjustments, or extra digitizing work to achieve a good result.

And while experienced digitizers can work around many of these challenges, some artwork characteristics tend to cause problems more often than others. 

Let’s look at some of the most common ones.

Screenshots

Screenshots are one of the LEAST IDEAL file types for embroidery. 

While they may be convenient to send, screenshots typically contain less usable information than the original design file. 

They can be low-resolution, compressed, cropped, or blurry, making it difficult to accurately reproduce the artwork. 

Whenever possible, work from the original artwork file instead. Vector files, PDFs, and high-resolution images typically produce the best embroidery results. 

Downloading Graphics from Websites

Downloading graphics from websites can create many of the same problems as screenshots. 

Images found online are often heavily compressed, resized, or copied multiple times, resulting in a loss of detail and image quality. 

It’s also important to remember that not all graphics found online are free to use. 

Many are protected by copyright or REQUIRE a commercial license, even if they’re easy to download

Tiny Lettering

Tiny lettering is one of the most common causes of poor embroidery results.

Unlike a printer, an embroidery machine creates letters with thread and needles. Because thread has thickness and needles require space between stitches, there is a limit to how small lettering can be embroidered clearly.

As text gets smaller, letters may lose detail, become difficult to read, or fill in completely.

When possible, increase the text size or simplify the design. Larger lettering generally produces cleaner, more legible embroidery.

Thin Outlines

Thin outlines can be difficult to reproduce accurately in embroidery.

Unlike ink or pixels, thread has physical thickness. As outlines become thinner, there is less room to reproduce them cleanly and consistently.

As a result, thin outlines may appear uneven, thicker than intended, or disappear altogether.

When possible, avoid extremely thin outlines and allow enough width for the embroidery to reproduce them clearly

Complex Gradients

Embroidery uses individual thread colors rather than continuously blended colors. As a result, smooth transitions between shades often need to be simplified.

The more complex the gradient, the more likely it is that some detail or color variation will be lost.

When possible, simplify gradients or use artwork with clearly defined color areas.

Too Many Colors

Artwork with too many colors can make embroidery more complex (and time-consuming) than necessary. 

While modern multi-needle embroidery machines are designed to handle multiple thread colors efficiently, excessive color variation can still increase digitizing complexity and production time. 

In many cases, similar shades can be combined without significantly affecting the final appearance of the design. 

The examples above are some of the most common artwork issues that can create challenges during the embroidery process, but they’re far from the only ones.

Embroidery digitizing is a specialized skill, and there are countless factors that can affect how well a design stitches out on a piece of fabric. 

Rather than trying to cover every possible issue on a single page, think of this list as a starting point. 

Understanding these common mistakes will help you create more embroidery-friendly artwork and avoid many of the problems that occur most frequently.

If you’re serious about embroidery, it’s well worth continuing your research and learning more about how designs are prepared, digitized, and ultimately stitched onto fabric. 

The better you understand the process, the better your embroidery results will be.

But if you remember nothing else, remember this:

Embroidery is NOT printing.

The more you understand the limitations of thread, fabric, and embroidery machines, the less likely you are to run into avoidable issues.

“Should I invest the time to learn how to digitize myself… or should I leave it to the professionals?” 

The truth is, there’s no one-size-fits-all answer.

Learning to digitize your own designs can be a valuable investment if you plan to create embroidery files regularly and want complete control over the process. Over time, developing this skill can give you greater flexibility and help you make adjustments without relying on outside services.

However, learning embroidery digitizing takes time, practice, and patience. Even with the right software, it can take months to develop the experience needed to consistently produce clean, professional-quality results. During that learning process, mistakes can lead to wasted materials, production delays, and less-than-ideal stitch-outs.
